Obligations

Contract
Once the E. V. S project has been approved, the applicant organization (sending, host or coordinating organization) will receive a financial agreement (contract) governing the use of the Community funds. The sending, host and/or coordinating organizations all undertake to fulfill their respective contractual obligations as specified in section D.3.
The European Commission, or a National Agency, may carry out on-site visits to check that all contractual obligations are being properly fulfilled. The volunteer must also confirm his/her contractual obligations in writing.

If, in the course of the project, unforeseen circumstances disrupt its implementation, the partners should immediately contact the European Commission, or their National Agencies, to make appropriate arrangements.
Failure to carry out the project as agreed could lead to the European Commission, or National Agencies, recovering part, or all, of the grant.

Insurance
Through an agreement that the European Commission has concluded with an appointed insurance company, all volunteers participating in the YOUTH program are insured against illness, accident, death, permanent disability and repatriation in case of serious illness or accident. This insurance also covers civil liability and the loss of identification and travel documents and complements the protection provided by national social security systems (if applicable) by virtue of the E 111 (or similar) form issued to the volunteer.
All insurance costs are paid directly by the European Commission and are not included in project budgets.
The sending organization is responsible for sending the volunteer's details to the insurance company well in advance of the start of the project. Additional information regarding the insurance provided for by the European Commission is available from the National Agencies or National Coordinators.

The visa regulations vary among the Program countries, and the exact conditions are available in the collection of documents entitled "Moving in Europe". Please contact your National Agency or National Coordinator for a copy.

Visa


It is the shared responsibility of the sending and host organizations to ensure that any visa required is in order before the volunteer leaves. It is strongly recommended that the visa be arranged well in advance, since the process may take several weeks.
